How to Use the Free Quote Generator

  2. 2 Fill in the Prepared For section with the client's name, address, email, and phone.
  3. 3 Enter the Quote Number (or click +1 to auto-increment), set the Quote Date, and choose a Validity Period (7, 14, 30, 60, or 90 days — the expiry date is calculated automatically).
  4. 4 Add your Line Items — description, quantity, unit, and rate per item. Click + Add Line Item for more rows.
  5. 5 Configure Discount, Tax, and Shipping charges (% or fixed toggle), add any Lead Time / Delivery information, and fill in Notes / Terms.

What is the difference between a quote and an invoice?
A quote (or quotation) is a document issued before work begins, stating the price you propose to charge. It is not a request for payment. An invoice is issued after work is completed (or at agreed milestones), requesting payment for goods or services already delivered. A client accepts a quote, then receives an invoice.
Is this quote legally binding?
A quote can become legally binding once a client formally accepts it — in writing, by email, or by signing. The quote itself is an offer; acceptance creates a contract. To protect yourself, include clear terms in the Notes section (e.g. "This quote is valid for 30 days. Work commences upon written approval."). For large projects, follow up the accepted quote with a formal contract.
Can I convert a quote into an invoice?
The Quote and Invoice generators are separate tools — you cannot automatically convert one to the other, but they share your sender profile so switching is fast. Once a quote is accepted, open the Invoice Generator, your company details are already filled in, then enter the same client details and line items from the accepted quote to create the matching invoice.
What does "validity period" mean on a quote?
The validity period is the number of days for which your quoted price is guaranteed. If costs change (materials, labour, exchange rates), quotes issued after that period may reflect the new prices. Setting a validity period (e.g. 30 days) protects you from being held to a price quoted months ago. The "Valid Until" date on the PDF is calculated automatically from the quote date plus the validity period you select.
